Use Teams to get help with Teams

Do you learn best from user-friendly documentation? Perhaps you prefer training videos? Are you always looking for the latest new features?

Teams has an extremely user-friendly and informative help section that can be found in the bottom-left corner of Teams. Simply click the Help button and choose Training to get started. Here you’ll see links to documents as well as a variety of short video clips (most under 2 minutes) that will play right within Teams.

There’s also a What’s new tab with a searchable feed of short posts whenever new features are released.

Inviting Visitors to Recurring Meetings in Teams

Do you have recurring meetings in Teams and want to invite an attendee to a single instance?

Teams treats recurring meetings as one continuous meeting that you simply re-join each instance. The benefit of this is that you can easily refer to chat from previous instances. However, it also means that invitees (visitors) to a single instance will have access to (and be notified of activity in) the ongoing chat in subsequent instances of the meeting. There are a couple ways to avoid this…

When inviting someone outside the normal invitees to a single instance, either:

  1. After the meeting, remove the visitor(s) from the attendees list in Teams,
  2. Before the meeting (before inviting visitors), delete that instance from the recurrence and create a unique meeting for the purpose of including visitors,
    1. If you frequently invite visitors, it may be worth considering not using recurrence at all, and creating individual meetings for each instance.

Have you been invited as a visitor to an instance of a recurring Teams meeting and you’re seeing additional chat content that you don’t think you should?

You can remove yourself from the meeting chat by finding the meeting chat in the Chat section of Teams (to help identify them, meetings chats have a calendar icon beside them), either right-click or click the dots (ellipses) beside the chat and choose Leave.

Internet Connection

Download (and upload) speeds of 5Mbps.

  • At least 450GB of monthly data; unlimited is recommended.
Windows Users

A Windows 10 computer/laptop.

  • Minimum 4GB of RAM.
  • 10GB+ available hard drive storage.
    • Enough available hard drive space to install the Microsoft Office suite (approximately 3GB).
    • A method of backing up/synchronizing to local or cloud-based storage such as OneDrive is highly recommended.
  • Microphone, webcam and speakers.
  • System updates must be regularly installed.
  • Anti-Virus software
    • Windows Defender anti-malware platform should be enabled by default.
    • Windows Firewall enabled.
Mac Users

A Macintosh computer/laptop.

  • Minimum 4GB of RAM.
  • 10GB+ available hard drive storage.
    • Enough available hard drive space to install the Microsoft Office suite (approximately 3GB).
    • A method of backing up/synchronizing to local or cloud-based storage such as OneDrive is highly recommended.
  • Microphone, webcam and speakers.
  • System updates must be regularly installed.
  • Anti-Virus software.
    • AVG is free and adequate.
    • MAC firewall enabled.
Softphone - Cisco Jabber

Employees who have desk phones on campus, but are working remotely on a college-owned laptop, have the ability to connect remotely to their phone to place and receive phone calls on their laptop. This is done using a softphone system called Cisco Jabber.

Please note: to use Cisco Jabber a VPN connection to the college network is required, which can also be requested from the ITS Help Desk.

A printer for personal use is optional.
